Smart School ERP হলো স্কুল, কলেজ ও মাদ্রাসার জন্য ম্যানেজমেন্ট সফটওয়্যার এবং অভিভাবক (Guardian) Android অ্যাপ। এটি তৈরি ও পরিচালনা করে এআই সফট বিডি (AI Soft BD) — মালিক: মোঃ আরিফ বিল্লা। ট্রেড লাইসেন্স নং ০৩৯২৯, মোংলা পোর্ট পৌরসভা। ঠিকানা: হোল্ডিং ০০২, জিয়া সড়ক, মোংলা-৯৩৫০, বাগেরহাট, বাংলাদেশ। এই পলিসিতে বলা আছে আমরা কী তথ্য রাখি, কেন রাখি এবং আপনার অধিকার কী।
১. কী তথ্য রাখা হয়
- শিক্ষার্থী, অভিভাবক, শিক্ষক ও কর্মচারীর নাম, ছবি, মোবাইল নম্বর, ঠিকানা, শ্রেণি ও রোল।
- হাজিরা (বায়োমেট্রিক ডিভাইসের ইন/আউট সময়), ফি ও বকেয়া, পরীক্ষার ফলাফল।
- অভিভাবককে পাঠানো SMS ও অ্যাপ নোটিফিকেশনের রেকর্ড।
২. কেন ব্যবহার করি
- সফটওয়্যারের কাজ চালাতে (হিসাব, রিপোর্ট, নোটিফিকেশন)।
- লাইসেন্স যাচাই, সাপোর্ট ও সমস্যা সমাধানে।
- নিরাপত্তা রক্ষা ও অপব্যবহার ঠেকাতে।
- আইন অনুযায়ী প্রয়োজন হলে।
৩. তথ্য কোথায় থাকে
সফটওয়্যারটি সাধারণত আপনার নিজের কম্পিউটার/সার্ভারে চলে, তাই মূল তথ্য সেখানেই থাকে। অনলাইন ভার্সন বা ব্যাকআপ নিলে তথ্য আমাদের সার্ভারে (VPS) এনক্রিপ্টেড সংযোগে (HTTPS) রাখা হয়। লাইসেন্স যাচাইয়ের জন্য শুধু দোকান/প্রতিষ্ঠানের নাম, মোবাইল নম্বর, লাইসেন্স কী ও কম্পিউটারের আইডি আমাদের কাছে আসে।
৪. কার সাথে শেয়ার হয়
আমরা আপনার তথ্য বিক্রি করি না এবং বিজ্ঞাপনের জন্য ব্যবহার করি না। শুধু সার্ভিস চালাতে যা দরকার — যেমন SMS গেটওয়ে, পেমেন্ট গেটওয়ে (bKash/SSLCommerz), হোস্টিং — তাদের কাছে প্রয়োজনীয় অংশটুকু যায়। আইনগত বাধ্যবাধকতা থাকলে কর্তৃপক্ষকে দিতে হতে পারে।
৫. এই সফটওয়্যারের বিশেষ বিষয়
- এতে শিশুদের তথ্য থাকে। প্রতিষ্ঠান (স্কুল) এই তথ্যের নিয়ন্ত্রক; অভিভাবকের সম্মতি নেওয়া ও তথ্য সঠিক রাখা প্রতিষ্ঠানের দায়িত্ব।
- আঙুলের ছাপ (fingerprint) হাজিরা ডিভাইসেই থাকে; সফটওয়্যার শুধু শিক্ষার্থীর আইডি ও সময় পায়, আঙুলের ছবি নয়।
- সফটওয়্যারটি প্রতিষ্ঠানের নিজের কম্পিউটারে বা সার্ভারে চলে; আমরা প্রতিষ্ঠানের অনুমতি ছাড়া তথ্য দেখি না।
৬. সংরক্ষণের মেয়াদ ও মুছে ফেলা
অ্যাকাউন্ট/লাইসেন্স চালু থাকা পর্যন্ত তথ্য রাখা হয়। বন্ধ করার পর লিখিত অনুরোধ পেলে ৩০ দিনের মধ্যে আমাদের সার্ভার থেকে তথ্য মুছে ফেলা হয় (আইনে রাখতে বাধ্য এমন হিসাব ছাড়া)। আপনার নিজের কম্পিউটারের তথ্য আপনি নিজে মুছতে পারবেন।
৭. আপনার অধিকার
আপনি আপনার তথ্য দেখতে, ঠিক করতে, কপি নিতে বা মুছে ফেলার অনুরোধ করতে পারেন। নিচের ঠিকানায় যোগাযোগ করুন।
৮. পলিসি পরিবর্তন
পলিসি বদলালে এই পেজে তারিখসহ জানানো হবে; বড় পরিবর্তন হলে সফটওয়্যারের ভেতরে আবার সম্মতি নেওয়া হবে।

Smart School ERP is management software for schools, colleges and madrasas, and the Guardian Android app. It is made and operated by AI Soft BD — proprietor: Md. Arif Billa. Trade Licence No. 03929, Mongla Port Municipality. Address: Holding 002, Jia Sorok, Mongla-9350, Bagerhat, Bangladesh. This policy explains what data is processed, why, and your rights.
1. Data we process
- Name, photo, phone, address, class and roll of students, guardians, teachers and staff.
- Attendance (in/out times from the biometric device), fees and dues, exam results.
- Records of SMS and app notifications sent to guardians.
2. Why we use it
- To run the software (records, reports, notifications).
- For licence checks, support and troubleshooting.
- To keep the service secure and prevent misuse.
- Where required by law.
3. Where data is stored
The software usually runs on your own computer/server, so the main data stays there. If you use the online version or backup, data is kept on our server (VPS) over encrypted connections (HTTPS). For licence checks we receive only the shop/institution name, phone, licence key and a computer ID.
4. Sharing
We do not sell your data or use it for advertising. Only what is needed to run the service goes to providers such as SMS gateways, payment gateways (bKash/SSLCommerz) and hosting. We may disclose data to authorities when legally required.
5. Specific to this product
- It holds children's data. The institution is the controller of this data and is responsible for guardian consent and accuracy.
- Fingerprints stay on the attendance device; the software receives only the student ID and time, not fingerprint images.
- The software runs on the institution's own computer or server; we do not access the data without the institution's permission.
6. Retention and deletion
We keep data while the account/licence is active. After closure, on written request we delete it from our servers within 30 days (except records we must keep by law). Data on your own computer can be deleted by you.
7. Your rights
You can ask to see, correct, export or delete your data. Contact us using the details below.
8. Changes
We will post changes on this page with a new date; for major changes we will ask for consent again inside the software.
